Acceptable Use Policy

What you may and may not add to knowledge bases and content sources on Monology. Please read carefully before adding content.

1. Scope of This Policy

This Acceptable Use Policy ("AUP") governs the content you upload, paste, sync, or otherwise add to knowledge bases, prompts, and other content sources on Monology (the "Service"). It supplements, and is incorporated by reference into, our Terms of Service. Where this AUP and the Terms conflict on acceptable content, this AUP controls.

2. Prohibited Data in Knowledge Bases

You must not add, and must not permit anyone to add, the following categories of sensitive or confidential information to any knowledge base or content source. This applies whether the data is your own or belongs to a third party.

Credentials & secrets

Passwords, API keys, access tokens, private keys, database connection strings, or any authentication secret.

Payment & financial data

Full card numbers, CVV/CVC codes, bank account or routing numbers, or other cardholder data.

Government & national IDs

Social Security numbers, passport or national ID numbers, driver's licence numbers, or tax identifiers.

Health & sensitive records

Medical records, diagnoses, or any protected health information, as well as biometric identifiers.

Other people's personal data

Personal information about third parties that you do not have a lawful basis or consent to share.

This list is illustrative, not exhaustive. If you are unsure whether content is appropriate for a knowledge base, please leave it out or contact us first.

3. Your Responsibilities & Warranties

Each time you add content to a knowledge base, you represent and warrant that:

  • The content contains none of the prohibited data described above.
  • You own the content, or have all rights, consents, and lawful bases necessary to upload it and to have it processed by the Service and its AI providers.
  • The content does not infringe the intellectual-property, privacy, or other rights of any third party.
  • You are solely responsible for the content you add and for how your deployed chatbots use it.

4. Automated Screening

To help enforce this policy, the Service applies automated screening to content before it is added to a knowledge base:

  • Content matching high-risk patterns (such as payment-card numbers or government IDs) is blocked and cannot be saved until removed.
  • Content matching lower-confidence patterns is flagged for your review. You may choose to proceed, and we record that acknowledgment.

Automated screening is a safeguard, not a guarantee. It may not detect every instance of prohibited data, and it does not reduce your responsibilities or warranties under this policy. You remain fully responsible for the content you add.

5. Indemnification

You agree to indemnify and hold harmless Monology and its officers, directors, employees, and agents from and against any third-party claims, damages, losses, and reasonable expenses (including reasonable legal fees) that arise directly from your breach of this policy — for example, adding prohibited data, or content you did not have the right or consent to share.

6. Enforcement & Removal

We reserve the right, but assume no obligation, to remove or disable access to any content that violates this policy, and to suspend or terminate accounts that repeatedly or seriously breach it, in accordance with our Terms of Service. Where appropriate, we may notify you and give you an opportunity to remediate.

7. Changes to This Policy

We may update this policy from time to time. Each version carries a version identifier and effective date. When we make material changes, we may ask you to acknowledge the updated policy before you continue adding content. Your continued use of the Service after an update constitutes acceptance of the current version.
